Privacy and cookies.

This notice explains how Roastwell Ltd uses your personal information when you visit roastwell.coffee, email us or enquire about trade through this website. If you buy from Tasting House or Brew Theory, that brand's own privacy notice covers your order and account.

1. Who we are

Roastwell Ltd is the controller of your personal information. We are registered in England and Wales, company no. 17472788, and our registered office is 124-128 City Road, London EC1V 2NX. For anything about your personal information, email us at [email protected].

2. What we collect and why

Contacting us. If you email us, we keep the conversation and your contact details to reply and to deal with any follow-up. Legal basis: our legitimate interest in answering you.

Trade enquiries. If you enquire about buying wholesale for a business through our form, we receive what you type in: the business name and type, your name, email address, phone number (if you give one), postcode, website (if you give one), how much coffee you expect to need and your message. We use it to reply, to talk about supplying you and, if we both agree, to set up a trade account. Legal basis: steps you asked us to take before a contract, and our legitimate interest in running our business.

Website security and operation. Our hosting and security provider records technical information such as your IP address, browser type and the pages requested, to keep the site secure, stop abuse (such as automated form submissions) and fix problems. The trade form also runs a check to tell people from robots. Legal basis: our legitimate interest in running a secure website.

Website statistics. Only if you accept statistics cookies, we use Google Analytics to see how the site is used: pages visited, how you arrived, your device and browser, and your approximate location (town or region). It shows us what works and what to improve. Until you accept, nothing is sent to Google. Legal basis: your consent, which you can withdraw at any time (see section 3).

3. Cookies

This site does not set any cookies until you choose. If you accept statistics cookies, Google Analytics sets the cookies below. If you reject them, or do not choose, it sets none. You can change your choice at any time with Cookie settings in the footer of every page; rejecting removes the Google cookies from your browser.

4. Who we share it with

We do not sell your personal information. We share it only with companies that help us run the site and our business, and only what they need:

  • Cloudflare (hosting, delivering and protecting this website, including the check that tells people from robots on the trade form). Every visit passes through its network.
  • Brevo (sending the trade enquiry from the form to our inbox), based in the EU.
  • Google (our email, so your messages to us and the enquiries we receive are stored there; and Google Analytics, only if you accept statistics cookies, which keeps this statistics data for us for 14 months).
  • Our accountants and professional advisers, where needed, and public authorities such as HMRC or the police when the law requires it.

5. International transfers

Some of these providers, including Cloudflare and Google, may process information in the United States or elsewhere outside the UK. When they do, the transfer is protected by UK adequacy regulations (including the UK Extension to the EU-US Data Privacy Framework) or by the UK's approved contract clauses. Brevo processes information in the EU, which the UK recognises as adequate.

6. How long we keep it

  • Trade enquiries that do not lead to a trade account: up to 2 years after we last hear from you. A trade account's orders, invoices and payments are kept for 6 years after the end of the financial year they belong to, as UK tax and company law require.
  • Emails with us: up to 2 years after the matter is closed, unless they are about an order or an account.
  • Website statistics (Google Analytics): 14 months.
  • Technical logs: kept by our hosting and security provider for the period set out in its own policy.

7. Your rights

You have the right to ask for a copy of your personal information, to have it corrected, to restrict or object to how we use it, to ask us to delete it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. Some rights have limits: for example, we must keep accounting records for tax purposes. To use any of these rights, email [email protected]. We will reply within one month.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113.

8. Automated decisions

The check on the trade form that tells people from robots is automatic, and may stop a submission it takes for automated. If that happens to you by mistake, email us instead and we will deal with it. We make no other automated decisions about you.

9. Security

This site is served only over encrypted connections (HTTPS). Enquiries from the form are sent to us by email, and access to our mailboxes is limited to the people who need it and protected by strong passwords.

10. Children

This site is for businesses and adults. We do not knowingly collect personal information from anyone under 18.

11. Changes to this notice

We may update this notice, for example when we add a new service. The date at the top shows when it last changed.
